Secure Document Destruction Procedure

- Client nominates records ready for destruction
- Nominated records are scanned to a Destruction Workorder
- The Destruction Workorder is signed by the client's authorised representative
- Records are retrieved, wrapped and quarantined in our Destruction Holding Area
- Our secure transport service delivers the records directly to our destruction agency
- The agency follows the destruction standards outlined below.

Document Destruction Agency Standards
- The destruction agency is Commonwealth Security Accredited
- All material delivered by Fort Knox is destroyed on the same day
- All material is 'double shredded' in a two-stage shredding process
- The agency premises are protected by 24 hour security surveillance.
Carton Destruction Procedure
- Client notifies Fort Knox of archives nominated for destruction
- Fort Knox creates a Destruction Workorder. This must be signed by the client's authorised representative before archives are retrieved
- Fort Knox pulls the nominated archives and scans them to the Destruction Workorder. If the incorrect archive is scanned, the scanner will not continue until the discrepancy is rectified
- Retrieved archives are wrapped and quarantined in our Destruction Holding Area, where they await secure transport to our destruction agency
- When archive destruction is complete, Fort Knox issues a certificate of destruction and signed Destruction Workorder for the client's verification.
Locked Office Bins
Fort Knox Records Management can supply clients with locked 240 litre Secure Document Destruction Bins for all their offices. These bins go through the same destruction processes outlined above.
Destruction bins are delivered to your premises for filling, then locked and removed to our shredding depot. After receiving your written approval, the archives are destroyed in a secure environment. For your peace of mind, Fort Knox supplies shredding certificates as proof of destruction.
